How The Music Academy collects, uses and looks after your information when you enquire about music lessons.

Last updated 8 October 2026

Who we are

The Music Academy (“we”, “us” or “our”) provides personally matched music tuition, tutor recruitment and lesson coordination. We are responsible for the personal information described in this policy.

If you have any questions about this policy or how we handle your information, please contact us at info@themusicacademy.london or on WhatsApp +44 7340 782 473.

Information we collect

We only ask for what we need to understand your requirements and put you in touch with a suitable tutor. When you send an enquiry we collect:

  • Your name, email address and phone number or WhatsApp number.
  • Your postcode or neighbourhood, so we can check tutor coverage near you.
  • Details about the learner you are enquiring for, such as age, current level, instrument(s) of interest and preferred lesson setting (home visit, tutor’s studio or online).
  • Any message or preference you choose to include.

If you contact us by email, phone or WhatsApp, we also keep a record of that conversation. If you use our website, analytics tools may record standard information such as your device type, approximate location, referring page, and how you moved through the page.

How we use your information

We use your information to:

  • Respond to your enquiry and recommend one or more suitable tutors.
  • Contact you about your enquiry by email, phone or WhatsApp.
  • Arrange lessons, confirm availability and answer questions before you commit to anything.
  • Keep records of enquiries and lessons for our own administration.
  • Understand how our website performs and how useful it is, so we can improve it.

We do not sell your personal information, and we do not send you marketing newsletters unless you ask us to. We may pass your enquiry details to a tutor we are matching you with, but only the information needed for that introduction.

Our legal basis

Where you are an adult making an enquiry about your own lessons, we process your information on the basis that it is necessary to take steps at your request before entering into a contract, and on our legitimate interest in running a music tuition service.

Where you are a parent or guardian enquiring on behalf of a child, we rely on your consent and on the same necessity grounds. Please only share a child’s details if you have the right to do so, and keep the information to what is needed for the enquiry.

Where your information is stored

Enquiries are recorded in a secure Google Sheet held by The Music Academy and are also available to us by email. We use Google Analytics and Meta Pixel on our website to measure how the page is used; these services may set cookies or similar identifiers and may process data in their own systems.

We do not ask for, or store, payment card details on this website. Payment for lessons is agreed directly with your tutor.

How long we keep information

We keep enquiry records for as long as needed to follow up with you and to administer lessons. If you do not take lessons, we normally delete enquiry details within twelve months of your last contact with us, unless you ask us to keep them longer or we are required to retain them.

Analytics data is retained according to the settings of the analytics services we use.

Sharing your information

We share your information only where it is needed to provide our service:

  • A tutor we are matching you with, so they can contact you about a possible lesson.
  • Service providers that host our website, store enquiry records, or measure website performance, acting on our instructions.
  • Professional advisers, or where the law requires it, such as a court order or a request from the police.

We ask our providers to use your information only to deliver the service we have asked for, and we do not give them more information than they need.

Your rights

Under UK data protection law you can ask to:

  • See a copy of the information we hold about you.
  • Have incorrect information corrected.
  • Have your information deleted.
  • Ask us to stop processing your information, or object to how we use it.
  • Withdraw consent at any time where consent is the basis for processing.

To make a request, email info@themusicacademy.london or message +44 7340 782 473. We will reply within one month. You also have the right to complain to the Information Commissioner’s Office (ICO) if you are unhappy with how we have handled your information.

Children’s information

Our service is aimed at families. We only collect a child’s information through a parent or guardian, and we use it solely to arrange suitable lessons. Please do not send us more about a child than we have asked for.

Keeping your information safe

We limit access to enquiry records to the people who need them, use access-controlled accounts and HTTPS for our website, and delete records when they are no longer needed. No method of transmission over the internet is completely secure, but we take reasonable steps to protect your information.

Changes to this policy

We may update this policy from time to time. The current version is always available on this page, and the date at the top shows when it was last revised.
